Migration guide

Switching from SmartRecruiters to Recruitis

Moving off SmartRecruiters, especially after its 2025 acquisition by SAP? Here's how a switch to Recruitis actually works.

Why teams look at switching from SmartRecruiters

Uncertainty since the SAP acquisition

SAP acquired SmartRecruiters in September 2025 to integrate it into its HR platform. That can bring pricing changes, a shift toward SAP infrastructure, and changes to support and product direction. Recruitis is an independent product with no comparable transition underway.

Pricing that scales per user

SmartRecruiters bills per user, so cost grows with every hiring manager added. Recruitis includes unlimited users on every plan.

Reporting that's harder to bend to your needs

Some SmartRecruiters users describe custom reporting as rigid. Recruitis ships with built-in BI dashboards out of the box.

A more limited mobile experience

SmartRecruiters' mobile app has reported limitations. Recruitis offers a fully functional app on both Android and iOS.

What migrates, and how

We use Recruitis' API to bring your SmartRecruiters data across, guided by our implementation team.

  • Full candidate profiles, CVs and attachments
  • GDPR consent expiration dates, so compliance tracking carries over without a gap
  • Notes and tags, including the position each candidate applied to, added as a tag so it stays clear what they applied for

Typical timeline: a few days to a week from signed contract to go-live, including team training.

Included with every Recruitis plan

Data migration from SmartRecruiters is included at no extra cost on every Recruitis plan, from Basic to Enterprise. There's no separate implementation fee on top of your subscription.

Recruitis Switch Program

Two separate ways to make switching easier if you're still under contract with SmartRecruiters. They solve different problems and aren't combined automatically.

Option A: Contract Buyout

A credit toward your new subscription

Switch with a credit toward your new Recruitis subscription. Eligible credit is based on your documented remaining SmartRecruiters balance, capped at up to 50% of your eligible first-year Recruitis subscription.

Option B: No Double Payment

No overlapping subscription fees

Start using Recruitis during your switch. Your paid Recruitis subscription begins once your current SmartRecruiters term ends, within the program's approved bridging period.

Neither option cancels your existing SmartRecruiters contract, that's handled directly between you and SmartRecruiters. Exact eligibility and terms are confirmed with our team based on your documentation.

Frequently asked questions

Can I import my SmartRecruiters data into Recruitis?
Yes. Full candidate profiles, attachments, GDPR consent dates, notes and tags migrate through Recruitis' API, with our implementation team guiding the process. The position a candidate applied to isn't migrated as a separate job record, it's added as a tag on the candidate instead.
How does the SAP acquisition affect the timing of a switch?
If your organization is reassessing vendors because of the SAP acquisition, there's no need to wait: our implementation team can plan the migration around your current contract so you're not running two systems at once.
Is there a cost for the migration itself?
No. Migration and onboarding are included in your Recruitis subscription on every plan, there's no separate implementation fee.
How long does the switch take?
Typically a few days to a week from signed contract to go-live, including team training.
What if I'm mid-contract with SmartRecruiters?
Our Switch Program has two options for exactly this: a credit toward your new subscription based on your remaining SmartRecruiters balance, or a bridging period so your paid Recruitis subscription only starts once your SmartRecruiters term ends. Either way, you keep dealing with SmartRecruiters directly on canceling your existing contract.
What's the difference between Contract Buyout and No Double Payment?
Contract Buyout gives you a credit toward your new Recruitis subscription based on your documented remaining SmartRecruiters balance, capped at up to 50% of your first-year subscription. No Double Payment instead delays when your Recruitis subscription starts being billed, so you're not paying for both systems during the transition. The two solve different problems and aren't combined by default, our team will help you work out which fits your situation.
