Hiring manager collaboration starts before the first applicant

Today a large part of hiring rolls down to hiring managers. The hiring manager is the expert. They know people in their own professional circle who could fit the role, which is why they are so often pulled into sourcing.

Because Recruitis is flat-priced, you can add as many hiring managers as you need. You can also give them our LinkedIn plugin, so they source candidates together with the recruiter. That is collaboration at the very entry point, not only at the interview stage.

Once candidates are in the pipeline, the tools go both ways:

  • Scorecards and question sets. A manager can send the recruiter the questions they need answered up front: which certification the candidate holds, which frameworks they have used. The recruiter can prepare a culture-fit cross-check for the manager, built so the manager answers in a few clicks instead of writing paragraphs.
  • Structured interview kits. A kit is a prepared set of steps for the interview: scorecards, questionnaires and interview templates that tell the interviewer exactly how to proceed. The templates are especially strong for managers who are not professional interviewers. They help them interview every candidate in a structured way.
  • Shared candidate notes. Anyone on the hiring team can add notes to a candidate. You can mention a colleague in a note, which notifies them, and you can set a reminder on it. Mention several people at once and the note becomes a discussion. Tag three managers and ask, "Would this candidate fit one of your open positions?" All three reply in the same thread, say who is interested and who is not, and one of them assigns the candidate to their position. Notes follow the candidate across positions, so you see at a glance that this person applied to three roles in the past and what colleagues wrote about them each time. What each user sees depends on their permissions.
  • SLA tracking. The system watches the SLA for the hiring manager and measures each stage. The recruiter can assign tasks that fall under the same SLA, so feedback arrives on time.
  • Soft reject. This is a function I have not seen in any other ATS. A hiring manager can soft-reject a candidate. The candidate leaves the manager's view, but is not rejected outright: the recruiter finishes the communication first. The pipeline stays clean, and you do not need an artificial "candidates on the bench" stage in your workflow. For me, it is one of the most effective pieces of communication between a hiring manager and a recruiter.

Employee referrals: reward the help, not only the hire

The referral program is a native module of Recruitis, and it is open to every employee, not only hiring managers.

No accounts to create. You do not set up employees one by one. You define single sign-on, or you define that anyone arriving from your company domain can authenticate with their work email. If the person has no referral account, one is created. If they have one, they are connected to it. It is a passwordless solution, so employees can refer without needing a full system login.

Three ways to refer. An employee can share a position on social networks, send it by email, or upload a tip on a specific candidate directly.

The referred candidate is asked first. When an employee submits someone, Recruitis verifies with that person that they agree to the referral. If they do not, their data is fully anonymized. Nobody ends up in your database without knowing about it.

Rewards at every stage. Recruiters can set rewards for different stages of the hiring process. It is not only "we hired your candidate, here is your bonus." When the person you recommended passes an interview, you already earn credits or money, depending on the company. Credits can be spent in the referral shop.

Full transparency for the employee. Employees see every candidate they referred, the stage each one is in, and any reward they have already won. They can track referral bonuses and statuses themselves, without asking HR.

This improves transparency and speed of communication, and it raises engagement, because employees are rewarded for helping, not only for the result.

Why a referral program must be connected to the ATS

Every position in the ATS can have a different workflow. That means rewards can be tied to a specific stage of a specific position's process, and recruiters define them position by position.

A referral tool outside the ATS cannot do that. It can only work the old way: the employee gets a reward when the candidate is hired. That model is outdated. Employee participation in it is very low. If you want people engaged, you need to reward them along the way, for the fact that they are helping you.

Referral Premium vs. Referral Enterprise

Referral Enterprise lets you run rewards across different branches. A typical referral shop includes company merchandise: a hoodie, a cap. If you work in the New York office, you are not going to travel to San Francisco to pick up a cap. Enterprise lets each location handle its own rewards and pickup.

Talent pools: more sources, and suggestions that trust people over resumes

A talent pool should not be filled only by applicants to past positions and referrals. In Recruitis, candidates also flow in from career fairs and universities, because you can create landing pages for each of these sources. From there the talent pool works as your CRM: you search those candidates and reach out to them in bulk to keep passive talent warm until the right role opens.

Inside the talent pool you can create micro-pools: separate groups defined by a prepared filter. A company will typically split them into students, production, marketing and IT. You can share a micro-pool with the relevant hiring manager or team leader and set it as their default view.
